Payment reminder agent

Matches incoming UPI and bank credits to open invoices, marks them paid, and sends polite, escalating reminders for the rest on a fixed schedule in the customer's language. Disputes and promises to pay are routed to a person. The final notice always needs a person.

Is this you?

Is more than a fifth of your receivables overdue, and does chasing depend on who remembers?Yes, that’s us. Build it →Not really. Show me the next one

What it does, step by step

  1. 1Each morning the bank statement or payment gateway feed is read
  2. 2Credits are matched to open invoices by amount, reference and payer; ambiguous ones are queued, not guessed
  3. 3Matched invoices are marked paid in the accounting system
  4. 4Open invoices past due are sorted into stages: gentle, firm, final
  5. 5Gentle and firm reminders are sent on WhatsApp or email with the invoice and a payment link
  6. 6Replies are read; disputes and promises to pay are routed to the owner with the thread
  7. 7The final-stage notice is drafted and waits for a person to approve
  8. 8Every match, message and reply is logged against the invoice

What you’ll learn building it

  • Match payments to invoices before any reminder is sent
  • Write reminders that escalate politely, in the customer's language
  • Keep the final notice and every dispute with a person

What you’ll need

Open invoice list with correct due dates and contactsA statement feed or gateway settlement export you can read dailyReminder wording approved by the owner for each stage and languageA named person who owns disputes and the final noticeWhatsApp Business templates approved, or a sending email account

Where it goes wrong

A reminder sent to a customer who already paid costs more goodwill than ten reminders recover. Matching must be conservative: when in doubt, queue the credit and hold the reminder.

One example

A packaging supplier in Coimbatore has around 180 open invoices at any time, mostly on 30-day credit. Each morning the agent reads the ICICI statement and the Razorpay settlement file, matches credits to Zoho Books invoices, and sends a gentle WhatsApp reminder in Tamil or English on day 3 overdue and a firm one on day 10, each with a payment link. Day 20 notices wait for the owner. about 85 of every 100 credits match without a person, days sales outstanding fell from around 52 to 41, and reminders to already-paid customers stopped.
