Tender requirement extractor

Reads a tender and produces the eligibility checklist, required documents, deadlines, fees, evaluation criteria and the questions to ask at the pre-bid meeting, each with a page reference, then compares the checklist against the company's standard document pack and flags the gaps. A person reviews before the go or no-go decision.

Is this you?

Have you lost a bid in the last year for a missing document or a missed deadline rather than on price?Yes, that’s us. Build it →Not really. Show me the next one

What it does, step by step

  1. 1The tender PDF is uploaded, with any corrigenda and pre-bid clarifications
  2. 2Structured fields are extracted: eligibility, documents, dates, fees, EMD, evaluation criteria, each with a page number
  3. 3An eligibility and document checklist is built
  4. 4The checklist is compared against the company's document pack
  5. 5Gaps, expiring certificates and the deadline calendar are flagged
  6. 6Questions for the pre-bid meeting are drafted
  7. 7The bid owner reviews and makes the go or no-go call

What you’ll learn building it

  • Pull eligibility, documents, dates and fees out of a tender, with page numbers
  • Compare them against your standard document pack
  • Make the go or no-go call with the gaps in front of you

What you’ll need

Tender PDFs with corrigenda and clarifications collected in one placeA current document pack with expiry dates on every certificateA tender field schema agreed with the bid ownerA bid owner who makes the go or no-go decision

Where it goes wrong

The agent reads what is written. Corrigenda and pre-bid clarifications change deadlines and eligibility and are published separately, so they must be fed in too or the checklist is wrong on the day it matters.

One example

A 30-person facility management company in Lucknow bids on GeM and state e-procurement tenders for housekeeping and security contracts. The owner uploads each tender with its corrigenda; the extractor returns the eligibility list, documents required, EMD and fee, bid end date and evaluation weights, each with a page, and compares against the company's document pack on Google Drive. go or no-go now takes an hour instead of a weekend, and in the first quarter one bid was saved by a flagged ISO certificate due to expire.
