Policy and SOP answer bot

Answers staff questions from the company's own policies and SOPs, quotes the passage and names the document, and when the answer is not in the folder says so and routes the question to HR or operations. Every unanswered question is logged for the policy owner.

Is this you?

Do HR or operations answer the same staff questions more than ten times a day?Yes, that’s us. Build it →Not really. Show me the next one

What it does, step by step

  1. 1A staff member asks a question in chat (web, WhatsApp or Slack)
  2. 2The top passages are retrieved from the policy folder
  3. 3The answer is written only from those passages, with the document name and section quoted
  4. 4If the passages do not contain the answer, the bot replies "not covered" and routes to the named contact
  5. 5The question, answer and citation are logged
  6. 6The policy owner reviews the log weekly and updates or adds documents

What you’ll learn building it

  • Give an agent a folder of documents and make it answer only from them
  • Make it quote the document and the passage every time
  • Make it say "not covered" and route to a person instead of guessing

What you’ll need

Every policy and SOP in one folder, current, with a version dateA named owner for each documentA routing contact for "not covered" questionsA chat channel staff already useA weekly 20-minute slot to read the log

Where it goes wrong

The bot is only as current as the folder. An outdated policy becomes an outdated answer with a confident citation. If nobody owns the folder, do not build the bot.

One example

A 120-person logistics company in Gurugram kept HR policies in a Google Drive folder nobody opened. HR answered about 40 WhatsApp questions a day. The ops head cleaned 14 documents, gave each an owner, and built the bot on the staff WhatsApp group through a provider. Staff now get a quoted answer with the document name in seconds; anything not covered goes to HR with a tag. HR interruptions fell by about two-thirds, and the weekly log produced six policy gaps in the first month, including the reimbursement rule for toll charges.
